Billing Policy


TCF Ventures has established a standard billing policy. Unless you have a written customized contract with TCF Ventures for special services dated after the document revision date set forth below, this policy supersedes and replaces all existing billing policies applicable to your account.

You must provide TCF Ventures with complete and accurate billing information at the time of account creation and update this information within 30 days of any change. Billing information includes yours or your business's legal name, physical address/mailing address, telephone number, and email address. You are responsible for making payment in full to TCF Ventures for any account you have opened. Once an account has been opened it is deemed “active” whether or not the account is being used. Invoicing and services will remain “active” until your account has been terminated.

All prices listed on our website and advertised elsewhere are in United States Dollars (USD). If you are making a purchase from outside the United States, the amount charged may appear higher or lower than expected due to currency conversion fluctuations. The prices are accurate and correct in USD at the time of listing.

As a customer, it is your responsibility to understand how these prices convert to your local currency if you choose to make a payment in a currency other than USD. We recommend consulting with your bank or payment provider to obtain the current exchange rate and any applicable fees associated with currency conversion before completing your transaction.

In general, services are billed in advance with the exception of bandwidth overages, power overages, licensing, etc.

Your billing statement is sent to you electronically each month. Payment is due on the due date specified on the invoice. For example, the invoice sent on April 1st with a due date of April 15th, is due on or before April 15th. Any new services will be invoiced separately, due upon receipt, for the full amount.

If your account is more than ten (10) days past due, you will receive a suspension notification via email. If your account remains past due for more than thirty (30) days since the due date of the first unpaid invoice, TCF Ventures reserves the right to terminate your services.

TCF Ventures reserves the right to charge late fees for past due accounts. There is a 5-day grace period to receive payment. On the 6th day, late payments will have a late fee of 3% of invoice balance or $5 whichever is greater. For example, the statement for $10.00 is due on the 1st and payment is received on the 8th, a $5 late fee will be assessed.

In addition to the late fees, TCF Ventures may also assess the Account Service Fees listed below unless prohibited by law.

  • Credit Card Surcharge: Up to 3% per transaction
  • Administrative Fee: Up to 7.3% per invoice. This fee helps cover the maintenance costs of the service.
  • Late Fee: 3% of invoice balance or $5 whichever is greater.
  • Stop Payment/Returned Payment (NSF): $25.00 per incident.
  • Default/Collection Costs: minimum fee of $50.00.
  • Account Transfer/Restoration Fee $1/GB or $10, whichever is less, minimum of $1.
  • Out-Of-Scope Support Fee Variable. Amount determined at time of request. Maximum of $1000.

In the event you receive an incorrect invoice or do not receive an invoice at all, you are advised to immediately contact us to resolve the error. An inaccurate invoice or missing invoice does not negate charges for service or change the date for which payment of the service is due. We understand that invoicing errors can be frustrating. It is our policy to minimize billing errors and to pursue a solution as swiftly and efficiently as possible.

In the event you dispute an invoice, you must pay the fees in such invoice in full by the due date and file a separate written dispute with TCF Ventures within thirty (30) days from the date of receipt of the applicable invoice. In your written dispute, include a summary of the dispute together with supporting documentation. Following our receipt of your dispute summary and supporting documentation, we will investigate and make a final determination on the dispute in our reasonable discretion. For any sums found to be owed to client, we will issue you a credit to your account.

All billing disputes must be sent in writing by postal mail or via ticket to the contact information below. Any billing errors and disputes not made in writing with supporting documentation within thirty (30) days from the date of receipt of the applicable TCF Ventures invoice are waived. TCF Ventures will not be liable for any losses you incur from the disconnection or termination of services related to non-payment.

If a dispute arises via the payment processor, card issuer, or card network, regardless of its validity, we retain the right to discontinue current services and decline future services.

TCF Ventures does not issue refunds for partial month/year service whether or not the service has been used. For all other circumstances, please refer to our Refund Policy.

Client must provide TCF with a written notice of cancellation (i.e cancellation request via client portal). Unless otherwise agreed upon in writing, cancellations will take effect at the end of the current billing cycle.

For your convenience, TCF accepts Visa, MasterCard, American Express, Discover, UnionPay and all other major credit/debit cards. Paper Check / Money Order may be accepted for select products and services, please contact Customer Service to inquire.

The following criteria and exclusions apply to check/money order payments

  • All payments must be in US Dollars.
  • Pre-Printed Checks or Money-Orders Only. Personal Checks and Hand-Written Business Checks will not be accepted.
  • Checks must be mailed to our primary mailing address, checks sent elsewhere may not be received.
  • You are responsible for the security of your check up until it is in our posession. We will not be responsible for checks that are lost prior to our receipt.
  • Checks may require up to 4 weeks for processing (or more if you are shipping from outside the US).
  • We may, at our discretion, credit your account the appropriate amound of funds prior to the funds being cleared. These funds may be reversed in the event the check fails to clear.
  • Checks that return as NSF are subject to a $25 fee or the maximum allowed by law, and may result in immediate service suspension.
  • We may, at our discretion, require you to verify your identity prior to us crediting your account for the funds.

TCF Ventures LLC will not be held liable for service terminations or lost funds due to mis-mailed checks, DOA checks, or any other causes of a check to be non-cashable by us. Any checks that are receieved and do not meet our guidelines, will be destroyed.

If the account cannot be paid due to a declined credit card / debit card, TCF Ventures will make up to eight (8) additional attempts to charge the card. It is the client’s responsibility to update TCF Ventures with accurate payment information.
